With some of the other accounting software we reviewed, these features are available only in the top-tier plans. However, three features are available only in the top tier: expenses, multicurrency support and project tracking. Unlike many other accounting applications, Xero does not base its pricing on the number of individuals who need access.
With every Xero plan, there is no limit on the number of users. Xero offers a day free trial, so you and your employees can try out the software before you buy it. Xero partners with Gusto to add more HR functions, such as payroll services. With Gusto, you can onboard new hires, administer employee benefits, track hours and paid time off, run payroll, and automatically file payroll taxes.

The trial version of Xero is full-featured, meaning you can test it out with real data. Once you sign up, Xero provides several guided tutorials to acquaint you with its tools, such as connecting your business bank account, adding customers and creating invoices.
However, they were not as comprehensive as what we found in our review of QuickBooks. Phone support is not available immediately; you have to contact customer service first via email or live chat, after which you may be directed to a phone-based rep for further assistance. During our test run, we reached out to Xero via email, posing as a small business owner interested in the software. Eventually, we were directed to a representative by phone. In addition to reaching out for live help, you can access valuable online support resources, including videos, a blog, podcasts, small business guides and training courses.
One limitation of Xero compared with alternatives is the cap on invoicing and billing for its lower-tier plans. The Early plan allows you to send only 20 invoices and five bills a month, which we found unusually low. Industry: Financial Services. Fantastic product with fantastic support and really meaningful input from the actual company staff. Xero's main benefit to us as a mid tier accounting firm is the ease of importing information. It supports multiple bank feeds on a reliable basis and its open API allows for the support of many add in apps.
Being a non-technical software, it does sometimes give the impression of not being as robust in terms of ease of change of prior information. This can be overcome by locking down periods, one just has to remember to do this though. The capital development expenditure and size of Xero simply mean that it is outpacing other software in terms of speed of development, effectively future-proofing our practice.

On a similar note You can also manage projects -- and time spent on them -- in Xero. You can create multiple invoices throughout the project or just one at the end.
Track project performance throughout, as Xero allows you to see if the project is performing admirably or in danger of running over. The Contacts module lets you manage everyone including vendors, contractors, customers, and even employees in one central location. You can create groups and smart lists within the module, making it easy to track customers who order regularly or who always pay late. Xero offers good import and export capability, so you can import contacts, budgets, bank statements, and PayPal statements into the product using a CSV file format.
You can also export reports and other data using a CSV file format or through Excel. Xero does not offer payroll in any of its plans, but it does integrate with Gusto for those who need to pay employees. One of the best things about Xero is not only does it offer a free day trial, but it also lets you access a demo company so you can see how things work with data already in the system.
Xero is designed to work with just about any browser, and since the system is online, you don't have to spend any time downloading or installing an application. A welcome screen is displayed once you sign in to the application that allows you to set up the application in eight steps, including:. This process is designed to get you up and running quickly, though it's best to be prepared with your banking information prior to setting up the application as it won't let you progress past the bank connection step without completing it.
You do retain the option to import transactions manually from your bank if you don't want Xero to import them automatically, but I find it slightly annoying that I'm not given a choice as to whether I want to connect my bank or not. During setup, you also have the option to accept Xero's chart of accounts or build your own. If your chart of accounts doesn't vary that much from Xero's default chart, the easiest thing to do is accept that one and make edits.
Next up is entering vendors and customers, though you can just wait until you have a pending transaction and enter the information at that time. If you do get lost, just click on the question mark in the upper right corner, which gives you plenty of support options, including quick access to Xero Central support. For those who do everything on their phones, Xero has a mobile app for both iOS and Android devices that lets you capture and approve expenses, invoice clients, and store valuable contacts, though it does not offer all of the features found on the full online version.
Xero is nicely scalable, with three plans available, so if you're just starting out, you can subscribe to the Early plan at first and change to one of the other plans later, as your business grows. If you can't find the answer to a question from any of the above resources, you can contact Xero via the support page to request additional help. Another clear benefit of using Xero is that you don't have to know anything about accounting in order to use the application properly.
Finally, if you have employees scattered all over the place, they can still do their work, as Xero is an online subscription service, available anywhere that has a decent internet connection.
